Cancellation Policy

For all residences except Augustana:

Residence Application Fee

  1. Every residence application MUST be accompanied by the $175 residence application fee.  
  2. $25 of the $175 application fee is always a non-refundable administration fee.   
  3. If you move into residence, $150 of your $175 residence application fee becomes your security deposit.   
  4. A "Room Offer" may be either an email sent to your University of Alberta email address OR a hardcopy letter mailed to you.  
  5. The official date of the Room Offer is either the sent date of the email or the date listed on the hardcopy letter, NOT the date that the Room Offer is received.

How do I cancel my application?

All cancellations MUST be made in writing (an email from your University of Alberta email account is acceptable).

I was NOT accepted to the University of Alberta - am I eligible for a refund of my housing fees?

Yes, you are eligible for a refund if you inform Residence Services within 10 days of your notification with a copy of your non-admittance letter.  If you notify Residence Services in writing that you were not admitted within 10 days of receiving your notice AND before your residence move-in date, you will receive a refund of ALL residence fees paid to that point minus the $25 administration fee. You may accept your Room Offer before you have been offered admission to the University of Alberta, so please adhere to all Residence Services housing deadlines. 

I am on a waiting list for residence and my requested move-in date has passed. What happens to my application and application fee?  
 
If you are on a waiting list and we have not offered you a space in residence by your requested move-in date, we will cancel your application and you will receive a $150 refund ($175 application fee minus the $25 administration fee) within one month of your requested move-in date.  If you wish to remain on the waitlist list past your requested move-in date, please contact us within five (5) business days of your requested move-in date.

If I am an International Student and my Visa Application is denied, am I eligible for a refund of my application and confirmation payments?

Yes, you are eligible for a refund if you inform Residence Services within 10 days of your notification with a copy of your visa refusal letter.  If you notify Residence Services in writing that you were not given permission to enter Canada within 10 days of receiving your notice AND before your residence move-in date, you will receive a refund of ALL residence fees paid to that point minus the $25 administration fee.

If I cancel my housing reservation after submitting a Confirmation Package and post-dated payments, what happens to my post-dated payments? 

If you cancel your housing reservation after accepting a room offer, we will either terminate pre-authorized post-dated credit card payments or destroy post-dated cheques, depending on your method of payment.  Due to the volume of payment that we process, we are not able to send back cancelled post-dated cheques.
